There is no such thing as a perfect world and so nothing can completely protect your systems from viruses and internet attacks. But follow our 10 point plan and you will stand a much better chance of staying safe!

1. Early warning system
Keep an eye on security related websites and subscribe to relevant mailing lists or sign up for newsletter that will inform you of new threats as early as possible. Symantec offer an alert system - sign up for it now.

2. Passwords
Use a combination of letters, characters and numbers whenever possible, for example 6Bd$w!o8.

Update your passwords frequently and don't let anyone else have access to them. If you think someone may know your password, change it immediately.

3. Anti-virus software
Virus protection programmes are regularly updated - make sure yours is either updated automatically or manually check for updates at least once a week. If you hear of a new virus your software provider will usually already have an update - go and get it!

All systems - notebooks, desktops and servers must be protected from viruses. Make sure your software is properly configured to fully protect your systems.

4. Protect your email systems
Consider using an external company to scan your email for viruses and spam before it reaches you.

Use an email content filtering solution to protect your mail systems from malicious activity. It should allow filtering based on text strings within messages as well as the ability to monitor and restrict attachments.

Make sure employees are aware of the need to be vigilent when opening emails or attachments.

6. Know your firewall
A firewall is a crucial component of your security strategy. Make sure it is kept up to date with the latest patches.

The installation and maintenance of your company firewall is a specialised area. If your company doesn't have the necessary skills, make sure you seek advice from someone who does.

Complete solutions should include policy management and firewall intrusion detection.

7. Test for vulnerabilities
Perform frequent vulnerability assessments or penetration tests to identify vulnerabilities that may exist on your systems. Tests should be performed with multiple assessment tools from the Internet as well as from inside the network – for example, running a password-cracking tool to test the strength of user passwords.

8. Educate your users
Keep all employees up-to-date. Ensure everyone is made aware of new viruses as the appear. Company training and policies should cover in detail email and Internet usage. You must also ensure that all external storage sources (cd roms, zip drives, cards etc) are scanned for viruses by a competent person before use.

9. Keep your operating systems current
Keep all operating systems up-to-date where possible. This usually provides a more stable system and also makes it easier to deal with security patches later.

10. And Finally ......Backup Backup Backup!
Ensure all your data is backed up on a regular basis. Critical data should be backed up at least at the end of every day. Remember also to arrange for backups to be taken off site and stored securely. Should your office be subject to fire damage even backup data could be lost.

Security Tip

Make regular backups of critical data.

Backups should be made at least once each day. Larger companies should perform a full backup weekly with incremental backups every day.

At least once a month the backup media should be verified.

Take copies of the backup off-site and store securely
